The Marketing Manager is responsible for the marketing of several exhibitions, encompassing all exhibitor and visitor promotion of the events assigned.
Job Purpose:
To ensure exhibition(s) worked on, are marketed effectively within budget and deadlines
Key Performance Indicators:
- Timelines and budgets are adhered to in the event promotional activities
- Show targets met for visitor numbers as set out by Marketing Head/Exhibitions Director
- Develop marketing drop schedule and updating and adhering to deadlines
- On-time campaign implementation
- Submission of monthly marketing progress report
- Effective pre event analysis
- Successful negotiation of contra agreements with external parties and secure govt/associations’ support for events
- Timely completion of final post show report/analysis
- Developing of next show leaflet/brochure for promotion at upcoming event
Main Tasks and Responsibilities
Responsible for:
- Develop and execute marketing collaterals for on and offline promotions
- Develop marketing plan and campaign execution
- Develop and update marketing drop schedule and adhering to deadlines
- Develop and drive exhibitor and visitor promotion campaign to achieve desired attendance
- Source for data build to increase database for projects to secure visitors to the event
- Building press relations and association partners, etc.
- Collate/research market info for projects
- Initiate, develop and ensure successful implementation of special features for the exhibition
Marketing:
- Create and implement an integrated marketing strategy for the entire exhibition & conference including exhibitor, conference and visitor campaign
- Set out and monitor entire budget, drop schedule and media plan
- Use the full marketing mix to promote the exhibition and conferences in accordance with the marketing strategy from Exhibitor promotion through to Visitor promotion.
- Analysis of previous exhibition/conference marketing campaign and execute targeted selections on WAVE (internal database)
- Identify appropriate media partners and associations and negotiate barter deals to maximize event exposure
- Manage and ensure show websites are fully up to date with latest information
- Set up media deals with external organisations to ensure maximum exposure at lowest cost to show budget
- Strategic database build to increase attendance
- Handle and promote show features/activities
- Manage PR agency in co-ordination with the Marketing Director
- Coordinate the design and production of all marketing collateral, including sales brochures, conference brochures, visitor tickets, print advertisements, web banners/emails etc
- Copy write and proof read all marketing materials
- Update and adhere to agreed marketing budget
- Provide KPI reports for update meetings with Marketing Director
General:
- Manage and co-ordinate all external suppliers including Print, Mailing House, Design and Research and negotiate for best price
- Co-coordinate with internal departments such as database, web, conference production, telesales, etc
- Provide any other reporting information as required by show team
- Perform any other duties as commensurate with the grade and level of responsibility
- Exhibitor and visitor promotion campaign:
- Develop Marketing Plan and Marketing Drop Schedule
- Ensure campaign execution according to marketing plan
- Ensure marketing drop is updated on an ongoing basis
- Ensure marketing and media schedule is updated on an ongoing basis
- Arrange and negotiate for best deal for media contras
- Set up association contras
- Set up online event listings
- Budget management
- Ensure quotes are competitive
- Determine marketing budget
- Work within agreed budget
- Liaise with mailing houses for mail campaigns
- Production of all marketing collateral
- Liaise with designers, printers and other suppliers as appropriate
- Ensure website is updated at all times
- Send out regular bi-weekly EDMs
- Write press releases and follow up as required
- Build press relations with relevant media
- Manage project data and oversee data build
- Manage the LOL
- Show Guide production
- Produce and manage onsite visitor and exhibitor surveys
- Produce survey analysis
- Produce post show report
- Market research including competitive analysis, market opportunities etc.
Other Activities:
- Manage all marketing activity to achieve exhibitor and visitor targets
- Manage on site activities including Press Room, Visitor Registration, Opening ceremony, etc.
- Assist with all other activities for promotion of the event
- Assist with other IIR projects as may be required

Person Specification:
Minimum Education Level Required:
- Educated to university degree or equivalent
- Strong copywriting skills;

- Able to work independently with minimum supervision;
- Fast worker with plenty of initiative and drive; pleasant personality and positive working attitude.

Essentials:
- Min. 4 - 5 years marketing experience in a B2B marketing environment
- Proficient in the use of MS Office including intermediate/advanced Word and Excel
- Thorough understanding of direct marketing initiatives including mail and email marketing
- Database development and growth including segmentation/advanced targeting
- Online marketing experience to include search engine optimization and banner placement
- Significant exposure to design and print suppliers/agencies
- Strong copywriting skills
- Regional campaign planning and marketing strategy skills
- Deadline and target driven
- Able to work under pressure achieving deadlines
- Fluent in English and Chinese language
Desirable Skills:
- Have direct experience in the exhibitions/conference industry
- Events marketing experience
- Bilingual in English and Chinese
